Information we collect
You give us: name, email address, optional phone number, company or organization, guest count, and anything you type into a registration or contact form.
Automatically: pages viewed, referral source (including QR code scans), approximate location derived from IP address, device and browser type, and email opens or clicks.
From partners: if you registered for an event on a partner or third-party platform that we manage, that platform may send us your registration record so the host has a complete roster.
Payments: paid tickets are processed by Stripe or PayPal. We never see or store your full card number.
How we use it
To confirm and manage your registration, send you your ticket or QR pass, check you in at the door, provide customer support, send event reminders and related promotional email from Polemarch Live and its properties, prevent fraud and abuse, and produce aggregate attendance and performance reporting for hosts.
Sharing
We share registration details with the host of the event you signed up for. We use service providers to operate the platform — hosting and database, email delivery, payment processing, and analytics — under contract and only for those purposes. We disclose information when required by law.
We do not sell your personal information and we do not rent or trade contact lists.
Your choices
Every marketing email has an unsubscribe link, and unsubscribing does not cancel your ticket. You can request a copy of your data, correction of it, or deletion of it by emailing deon@polemarch.site. We respond within 30 days. Where local law gives you additional rights (for example under the CCPA or GDPR), we honor them.
Retention and security
We keep registration records for as long as needed for the host's reporting and our legal obligations, then delete or anonymize them. Data is encrypted in transit, access is limited to authorized staff, and administrative sign-ins are logged. No system is perfectly secure, so please don't send sensitive personal information through an event form.
Cookies, children, and changes
We use essential cookies for sign-in and lightweight analytics to understand which promotions work. Our services are not directed to children under 13, and we do not knowingly collect their information. If this policy changes, we'll update the date above and post the revision here.
